How to book/request a room

Via TE Reserve you can make room bookings for available rooms or request to book an available room.

Requirements
To be able to find, request and book a room in TE Reserve, your user requires the relevant permissions.

When you log into TE Viewer / Reserve you will be directed to the following screen or your institutions version of it.

The TE Reserve portion of the above screen is title 'Booking Tool":

Reserve options in this example are:

  • Room Request
  • Event Booker
  • Equipment booker
  • Availability settings for guest lecturer

Find a room

Find a Room

Select "Room Request"

In this example you can :

  • Search for the actual room(s) (ROOM)
  • Select the type of rooms (TYPE)
  • Select the type of equipments (EQUIPMENT)

Note - the types of search criterias can be set up according to institution’s requirements. This is done via configuration.

The calendar section shows the current week.

Here a user can choose to view all days of the week (Week) or all hours of a day (Day) - this is done by toggling between Week and Day.

Book / Requesting a room

Select the date, e.g. Wednesday 20 July:

This will take the user into the day Wednesday 20 July, showing all available time where the room is available. It will also show If there are other bookings during this day.

Select the time required: e.g. 10-10:30am

The user will be presented with a booking form. 

Note - the number of fields, whether they are mandatory or option, type of fields etc can all be configured as per the institutions requirements.

Complete the form and click on Reserve.

You will now be presented with the above - here you can view the booking request ID, send the booking details to other users via email as well as click “create additional requests” to continue.

During the configuration process rooms can be configured to any of the following:

1) Reserve reservation type

Via Reserve reservation type the user will book a room immediately

2) Request reservation type

Via Request reservation type the room approver to will be required to either approve the requrest, change the room or allocate a room

Approval of a requested room is only required when configured via TimeEdit.

Once you have logged into TE Core

Under Views - click onto “Room request view” or your personalised request view

This will show the list of incoming room requests.

You will see the requests you’ve made view TE Reserve - in this example, it is the entry dated 20 July 2022.

Select the booking request dated 20 July - you will see the request highlighted (shown above).

Here, you can decide to reject, cancel (i.e. pending) or accept (save) the request.

If you decide to reject the requests, it will remove the entry, and send an email back to the booker. You will also be prompted for a reason why you’ve rejected the request. This reason can be configured to be included in the email back to the booker.

If you decide to accept this, 

  • You will see a list of possible rooms available:

Note - you can select other rooms too.

  • You then  select a room as well as other data.

  • Click “Accept” - this will trigger an email back to the booker.
